Question 1: Who will translate my employee handbook?
We ONLY employ professional translators who have expertise in translation of employee handbooks, policy manual translation, and other professional and technical materials. We do NOT outsource and NEVER use computer generated translation. Our team has been together for many years, so you can trust our work.
Question 2: Can I speak to the actual translator before and/or after the employee manual translation process?
Yes. We are available seven days per week, and we complete our employee policy manual translations here in the United States. You can call or email with any questions about your project.
Question 3: What if updates are needed after the translation is complete. Will I have to translate the entire document again?
Not at all. We will always make small updates free of charge, even years later. Larger updates are billed at the standard rate and can be added/updated to the previously translated document.
Question 4: What if I (or my employees) disagree with the word choice or any part of the translation?
We always stand behind our work and will be glad to make any updates as needed. We understand that translation is complex, subjective and there are many ways to express concepts in a second or foreign language. Our goal is to create the most usable version of your company staff handbook, employee policy manual or company employee handbook, so we will be glad to work with your team before, during and after the translation process.
Question 5: Can I request translation into different dialects of Spanish?
Yes. When needed, we can provide a region-specific employee handbook translation services, such as Chilean Spanish, various dialects in Mexico, Central American, Caribbean, Andean or Rioplatense; however, most translations are completed in Standard, International Spanish, which will be understood by all Spanish speakers. No, never. Most translators quote based on the word-count of the finished product and only provide an estimate in advance. We quote based on the word-count of the source document (your original handbook in English), and the total cost is always provided in advance. The invoiced amount will be the same as the quoted amount, always. There are no additional fees or taxes. When we provide a request for quotation (RfQ), we always provide the total cost without any variables.
Question 7: Do I have to make a down-payment or pay in advance?
No. We will include an invoice along with the completed employee handbook translation to Spanish. You (or your team) will have the opportunity to review the final project before paying the invoice. Our terms are typically net-30.
Question 8: How do I pay? Can I mail a check or do I pay with a credit card? Can I provide a PO (purchase order) number?

Yes. We will match the format to the original document. In most cases, the finished employee handbook in Spanish will look exactly like the original. As for file types, Word, PDF, InDesign, Publisher and many others are all acceptable. All images, charge, and other non-text items will remain intact.

Yes. If and when needed, we will be glad to provide a signed W9 for your records. We will be glad to provide our signed W9 (Requested for Taxpayer Identification Number, Form W-9) before or after the translation of employee handbooks has been completed.
Question 13: What are common sections required on employee handbooks?
Every industry is different as is every employee manual in Spanish, but the most commonly included wording deals with medical leave, family leave, and other policies regarding time off from work. Policies explaining non-discrimination and equal employment are almost always included, and such policies typically follow the guidelines from the US Department of Labor. Additionally, worker’s compensation polices are required by most states. Aside from those policies, an employee acknowledgement page, company history, PTO (paid time off) polices, conduct and behavior policies, benefits, and a variety of other polices are needed in order to satisfy state, local and federal regulations regarding employment.
Question 14: Will I have full access to the document, that is can I edit in the future?
Yes, you will have 100% access to the translated document. There is a new trend in translation where, upon completion of your employee handbook translation services, the translation company submits a password-protected version of the Spanish employee handbook or manual to the customer in order to maintain rights to the translated document. In these cases, the customer is required to pay for even minor updates in the future. This practice is nonsense; we always provide the Spanish employee handbook in an editable, unprotected form. It is your document, not ours.
Question 15: Is translation of employee handbooks into languages other than Spanish possible?
Yes, some. Some translation agencies will claim to translate into hundreds of languages. This is only possible when outsourcing translations.
